The Administrative Assistant is a key support figure for the Spring Creek Administrative office. They support the administrative team with clerical duties, and they oversee the daily Spring Creek administration office operations.
*REQUIREMENTS*
The following are requirements for this position:
* Minimum 2 years administration experience.
* Strong organizational skills, attention to detail, and communication skills.
* Ability to take direction and follow through on tasks with little or no supervision.
*DUTIES*
The duties of this position include, but are not limited to:
* Greet visitors at the Spring Creek administration office.
* Receive, date stamp, and distribute all incoming mail.
* Perform clerical duties such as coordinating correspondence, maintaining filing and record systems, and photocopying.
* Answer and direct phone calls, emails, and other inquiries to the appropriate personnel.
* Update the Spring Creek requirements binder with the most recent Town of Canmore business licences, WCB Coverage, Liability Insurance, etc.
* Ensure all trades comply with Spring Creek requirements in terms of liability insurance and WCB coverage and obtaining Town of Canmore business licenses.
* Monitor and upkeep the office including preparing recycling and garbage for pick up, and replenishing office supplies as needed, including washroom and kitchen items.
* Assist with basic accounting tasks, such as data entry, invoicing, and expense tracking.
* Calculate, prepare, and issue documents related to accounts such as bills, invoices, and account statements, and as required, ensuring vendors have provided Statutory Declarations.
* Track Purchase Order books and maintaining P.O. files.
