This Administrative Assistant is responsible for a broad range of administrative and accounting tasks to support the Independent Options/Young Parents department and any subsidiary programs, independently prioritizing their duties to ensure that all work is completed within established timeframes.
*Duties and Responsibilities:*
* Performs accounting functions which include, but are not limited to: Mileage and other payments, tracking account balances, reconciling program accounts, rental payments, monthly summaries of payables and receivables, month end reporting, manual cheques, creates invoices, purchase orders, etc.
* Responds to inquiries from funding agencies regarding expenses, providing thorough and accurate records and receipts as necessary.
* References and stays up to date with funding packages applicable to youth in the program, in order to appropriately and accurately bill the corresponding agency.
* Develops, maintains, and updates a variety of databases; this includes filing systems, data collection and entry, assisting with analysis and organization of information, and assisting with preparation of reports.
* Composes, formats and proofreads various documents including reports, memos, forms, correspondence, admission and discharge forms, etc. ensuring accuracy of information.
* Assists with preparation of presentations in a variety of formats (PowerPoint, projector set-up, and handouts);
* Screens incoming mail and follows up on general matters including preparation of routine correspondence.
* Coordinates, and confirms meetings, special events and appointments; arranges accommodations, distributes invitations, food/refreshments and equipment as needed.
* Receives telephone calls and relays messages as appropriate, greeting and assisting callers and answering routine inquiries from staff and clients.
* Practices discretion to maintain high-level confidentiality of all client and work related matters;
* Provides support to the Clinical Case Manager team as requested.
* Other duties as assigned.
*Qualifications:*
* Post-secondary education in office administration is preferred. A combination of education and experience may be considered;
* Minimum one year of working in an administrative role, with working experience doing accounting functions including payables and receivables is required;
* Excellent customer service skills are essential;
* Hands-on experience with office equipment (i.e. fax machines, printers) and basic troubleshooting skills;
* Solid written and verbal communication skills;
* Proficiency with Microsoft Office Suite (Word, Outlook ? including managing calendars, Excel, PowerPoint and Access) and Adobe Acrobat is essential;
* Minimum typing speed of 60 words per minute;
* Experience recording and preparing minutes and agendas;
* Exceptional multi-tasking and time-management skills, with the ability to autonomously prioritize tasks;
* Demonstrated ability to effectively contribute to a team environment.
* Satisfactory Criminal Record and clear Vulnerable Sector checks;
* Clear Child Abuse Registry and satisfactory Prior Contact checks;
