Intercity Industrial Supply (Thunder Bay) is seeking a full time *ADMINISTRATIVE ASSISTANT *to join our busy Finance department. Reporting to the Finance & Operations Manager, you will be a self-starter with strong initiative and a positive attitude.
*Key responsibilities in this position include but are not limited to:*
*Provide assistance to the A/R Specialist with the following:*
· Posting, of customer payments and transactions.
· Reconcile customer accounts, as required.
· Collecting outstanding accounts by telephone calls, emails, mail.
· Month end cutoff for accounts receivable.
· Customer maintenance.
· Respond to customer emails and phone calls.
· Vacation backup for Accounts Receivable.
*Provide coverage as needed to the A/P specialist with the following:*
· Invoice receiving and processing.
· Matching of invoices with receiving documents.
· Cheque runs.
· Month end cutoff for accounts payable.
· Vendor maintenance.
· Respond to vendor emails and phone calls.
· Vacation backup for Accounts Payable Clerk.
*Other*
· Bank Reconciliations
· Tracking various G/L expense accounts
· Company Visa reconciliations
· Tracking Vehicle Service Records
· Tracking Inventory on Office Equipment, Staff Clothing
· Other general tasks and special projects that may be assigned by the Finance & Operations Manager
· Other related administrative support duties to Management as assigned.
*Required Experience & Skills:*
· Minimum 2 years work experience in an administrative role.
· Preferred candidates will have experience with accounts payable and/or accounts receivable processing.
· Experience in processing accounts payable & accounts receivable in an inventory-controlled environment, with numerous daily invoices, purchase orders, and packing slips a definite asset
· Ability to prioritize tasks
· Experience working with accounting software
· Strong Microsoft Office applications (Excel, Word), Outlook.
· High attention to details, strong communication and organizational skills
· Dedicated and reliable with focus on customer/team service
· Positive, Professional attitude, ability to develop and build long-term relationships
· Ability to work independently and within a fast-paced high volume team environment with an emphasis on accuracy and timeliness
