Shuswap Children?s Association, originally the Shuswap Exceptional Children?s Association, was founded in 1982 by a group of parents of children with support needs who found they were unable to access services for their children. They were joined by community professionals, service providers, and others who shared the goals of the parents.
As an integral part of the Administration Team and as leader within the organization and the community, the Client Database Management Coordinator provides essential clerical and administrative support to Shuswap Children?s Association?s (SCA?s) program staff. Reporting to the Director of Operations, the Client Database Management Coordinator is responsible for organizing and completing a variety of day-to-day office operations to ensure organizational effectiveness and efficiency.
_Administration _
· Act as a daily contact and resource for all staff.
· Act as the backup SCA receptionist as needed.
· Manage client office documentation and filing.
· In collaboration with the Director of Operations, ensure office and IT equipment is maintained regularly and is up to date.
· Purchase program supplies as required.
· Record and distribute staff meeting minutes.
· Provide information about SCA programs to families and other agencies.
· Provide backup and support to the Director of Operations.
· Act as the office supervisor when the Director of Operations is away.
· Assist with updates to SCA?s policies and procedures manual as required.
· In collaboration with the Executive Director and the Director of Operations, assist with the ongoing CARF accreditation process.
· In consultation with the Director of Operations organize, manage, and summarize SCA?s annual program and staff surveys.
_Information Management_
· Act as a daily contact and provide training and support for staff on the client database (Nucleus).
· Manage client documentation and accurate information in client database.
· Create and manage program forms such as referral forms, intake forms, closing forms etc.
· Ensure all informational resources for the client database are accurate and up to date.
· Ensure client database is up to date.
· Ensure users are added as needed to client database.
· Prepare working files for programs as needed.
· Maintain client confidentiality and ensure the confidentiality of all client records.
· Engage in continuous training on the client database system.
· In collaboration with IT professionals, manage and maintain an efficient and up to date IT infrastructure.
· Complete the quarterly SIRF reporting for MCFD-funded programs.
_Human Resources_
· Maintain HR software and staff files as required
_Finance_
· In collaboration with the Executive Director, program coordinators, and the Board of Directors, participate in the organization and implementation of staff lead community events, fundraisers and donation drives as required
_Health & Safety_
· In collaboration with the Director of Operations, create and maintain health & safety documents as required.
· Ensure monthly Health & Safety inspections are complete and assist with yearly Health & Safety training as required.
· High School graduation.
· Certificate in Office Administration or equivalent training and/or work experience.
· Computer skills certification or equivalent training and/or work experience.
· Understanding of basic financial procedures, payroll, benefits administration, payroll taxation, and budgeting is considered an asset.
· Experience in employee recruitment, orientation and retention is considered an asset.
· Strong interpersonal skills that include the ability to work and communicate and collaborate effectively with other SCA staff, clients, and community members.
