The Métis Nation is a distinct Indigenous people recognized under Section 35 of the Canadian Constitution Act, 1982. The Métis National Council (MNC) and its Governing Members advocate for the Métis Nation. The primary mandate of the MNC is to work with federal and other key stakeholders to resolve systemic issues and concerns of the Métis Nation such as the fiscal relationship with the federal government; economic development; health; childcare and family services; education; environment, Métis veterans, and language promotion and protection. The MNC represents the Métis Nation both domestically and abroad and seeks to reinforce the Métis Nation?s right to self-government in Canada.
*The Position:*
Reporting directly to the Senior Director of Strategic Policy, the Executive Assistant will play a crucial role by providing executive level management of the office of the Senior Director. Duties include but are not limited to managing the Senior Director?s inbox & calendar, organizing travel, planning and organization of executive and member meetings and distributing communication to various stakeholders on behalf of the Senior Director. The Executive Assistant must be adept at scheduling a high volume of meetings, managing conflicting schedules, and liaising with other members of the Executive, Senior Management Team, Governing Members and external high-level stakeholders. This position requires strong prioritization skills, attention to detail, problem solving and being results-focused, with a demonstrated ability to multi-task and prioritize in a rapidly changing environment.
*Key Responsibilities:*
? Manages the Senior Director?s inbox and calendar
? Acts as the monitor on all matters relating to the Senior Director by evaluating requests and calls from the public and determining appropriate course of action, assigning priorities, and responding in a manner consistent with the President?s objectives and the organization?s needs.
? Briefs the Senior Director on daily scheduling commitments
? Research issues of importance and sensitivity that require the Senior Director?s attention and produces briefing material and information for the Senior Director?s review and direction
? Schedule and organize meetings, ensuring all logistical aspects are well managed. This could include travel, accommodation, catering, and A/V requirements.
? Prepare and distribute meeting agendas, materials, and minutes.
? Serve as the primary point of contact and liaison for committee members, addressing inquiries and providing necessary information.
? Act as liaison between the Senior Director, staff, the community, parliamentary offices, and other stakeholders to ensure communications are positive, collaborative and in the best interests of the MNC.
? Assist in the preparation of reports, presentations, and other documentation as required.
? Manage the filing system to ensure easy access to committee-related materials.
? Respond to emails, calls, and inquiries promptly and professionally.
? Draft and proofread correspondence, ensuring accuracy and adherence to organizational standards.
? Create and manage information in databases and spreadsheets.
? Work closely with other administrative staff and support other colleagues as needed.
? Works with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulations.
? Provide administrative support to senior leaders, including email correspondence and generation and distribution of memos, letters, spreadsheets, forms, and faxes
? Maintain an organized and comprehensive filing system.
? Other administrative duties as may reasonably be assigned.
