*Role Overview:* We are seeking an enthusiastic, dedicated and organized with a can-do attitude Administrative Assistant to join our team! This part-time position will transition to full-time as we continue to grow. The ideal candidate will be proactive, detail-oriented, passionate about our mission and core values and can handle multiple responsibilities efficiently while maintaining a professional demeanour. This position will have a crucial role in supporting daily operations by providing excellent customer support, managing administrative tasks, and ensuring smooth communication within the office. The candidate will have an opportunity soon to develop within our business administration department and take on a leadership roles.
*Key Responsibilities*
* Provide administrative support to the mental health teams by addressing inquiries and resolving issues promptly.
* Manage front desk operations, including greeting visitors and answering phone calls with proper phone etiquette.
* Manage scheduling appointments and assist with the coordination of events and meetings.
* Perform administrative tasks such as filing, data entry, and maintaining organized records.
* Support the team with office supply and technical support.
* Manage facility maintenance and ensure compliance with safety regulations.
* Proofread documents for accuracy and clarity before distribution.
*Qualifications:*
* Education or experience in business administration or medical/ health administration is required.
* Proficiency with Jane Clinic Management Software is an advantage.
* Ability to multitask and prioritize responsibilities in a fast-paced environment.
* Proficiency in administrative tasks, including filing and data management and Microsoft Office Suite.
* A positive attitude and strong interpersonal skills to foster a collaborative work atmosphere.
* Ability to work independently and as part of a team.
* Passion for mental health and helping others.
