*Overview*
Catholic Family Services of Peel-Dufferin (CFSPD) is a dynamic, growing family service agency serving all areas of Peel and Dufferin. CFSPD is committed to providing a positive work environment for its employees and excellent services to its clients.
We are currently searching for an Executive Assistant who will provide comprehensive administrative and executive support to the Chief Executive Office, executive team, Board of Directors and board committees. The successful candidate will facilitate effective communication with agency stakeholders, support leadership initiatives, and assist in special projects as assigned.
*Duties*
*Administrative support to the Executive Team and Board of Directors*
* Maintain and manage the CEO's calendar, scheduling meetings, appointments, and travel arrangements.
* Prepare agendas and materials for executive and board meetings; take minutes, track action items, and distribute as necessary.
* Assist in the preparation and editing of reports, presentations, and correspondence.
* Handle confidential information with discretion while maintaining the highest level of professionalism.
* Organize Board meetings including the Annual General Meeting; prepare documentation, agenda, letters, and minutes for CFSPD and Board.
*Communication *
* Act as the primary point of contact between the CEO, Executive Leadership, Board Members, and the community.
* Coordinate and promote effective communication strategies between internal and external stakeholders.
* Promote positive relationships with community partners, ensuring alignment with the organization's goals and objectives
*Project Management*
* Lead and manage special projects as assigned by the CEO, ensuring objectives are met within timelines and budgets.
* Engage with various departments to gather information, resources, and insights to facilitate project success.
* Manage the creation of the Annual Report in advance of the Annual General Meeting.
*Meeting Coordination and Executive Liaison*
* Schedule, organize, and coordinate meetings for the CEO, leadership team and senior management with internal and external stakeholders.
* Prepare necessary materials and documentation for meetings, ensuring participants are adequately prepared.
* Follow-up on action items from meetings to ensure timely completion of tasks.
*Qualifications*
* A Bachelor?s degree or equivalent combination of education and experience.
* Proven experience as an Executive Assistant or in a similar administrative role, preferably within a non-profit organization
* Strong writing, editing, and verbal communication skills.
* Advanced computer skills using Microsoft Office Suite: Word, Excel, PowerPoint and Outlook; able to quickly and accurately produce/edit Excel spreadsheets and PowerPoint presentations; database management.
* Ability to perform general office duties including opening mail, photocopying, faxing, and mailing materials via various delivery services.
* Research savvy with extensive experience using online resources.
* Excellent diplomatic skills; skilled at developing and maintaining personal, social, and business relationships representing company in a professional manner.
* Highly developed planning and organizational skills; able to anticipate change, adjust responses accordingly, and initiate steps to maximize resources toward a common objective.
* Superior time management skills; critical thinker with strong attention to detail.
* High standards of ethics and confidentiality to handle sensitive information.
* A satisfactory Vulnerable Sector Criminal Records check.
* A valid driver?s license, access to a reliable vehicle and relevant insurance.
