Syntec is currently seeking a motivated, proactive, and detail-oriented Office Administrator to join our team.
*Position Overview*
The Office Administrator manages administrative operations, office services, and facility safety. Responsibilities include coordinating office activities, managing contracts and supplies, handling reception duties, ensuring compliance with safety regulations, and troubleshooting office issues.
*Key Responsibilities*
- Coordinate departmental events, meetings, and special projects.
- Manage inbound/outbound mail and phone inquiries.
- Organize executive meetings, take minutes, and handle schedules.
- Arrange travel logistics for key personnel.
- Monitor and manage office supplies, equipment, and facility maintenance.
- Negotiate contracts with third-party service providers.
- Ensure compliance with safety regulations and manage building security.
- Support the sales team with event logistics and trade shows.
- Maintain project files, track orders, and update project logs.
- Collaborate with inventory planning personnel to minimize shortages and improve inventory holdings.
- Manage office communication (email, user lists, etc.) and assist with training materials.
- Monitor inbound/outbound shipping and receiving for non-warehouse products/items.
- Track project tenders being quoted, attend weekly project meetings and update estimating log as required.
- Provide marketing support as needed.
- Label and file sales order, purchase order files and quotes.
- Complete daily invoicing tasks.

*Qualifications*
- High school diploma or GED; degree in Business Administration or related field is a plus.
- 5+ years of office administration experience.
- Strong knowledge of procurement, budgeting, and inventory control.
- Familiarity with MAS/SAGE software and Microsoft Office.
- First Aid certification is a plus.
*Work Environment*
- In-person role; ability to lift 25 lbs.
- Occasional overtime as required.
