A busy real estate office in Cornwall, Ontario, is seeking a full-time professional Administrator/Receptionist onsite to support our team with a variety of tasks including document processing, client interaction, and direct support to our Broker of Record. This role requires a blend of administrative prowess, financial management skills, and creativity in digital content creation.
*Responsibilities*
_Administrative Duties_: Process all deal documents and input data into our system. Manage communications with outside brokerages and lawyers to ensure timely document exchange. Receive, track, and issue receipts for incoming deposits. Maintain a tidy reception and common areas.
_Financial Management_: Process invoices and transaction records. Familiarity with accounting software is essential for managing financial tasks efficiently.
_Reception Duties_: Answer and direct phone calls on a multi-line system, take messages, welcome visitors, and refer inquiries as needed.
_Social Media Management_: Create engaging content for our social media platforms to enhance our digital presence and engage with our community.
_Direct Support_: Provide direct administrative support to the Broker of Record, assisting with scheduling, correspondence, and other specific tasks as assigned.
_Social events_: Plan events as needed and run errands if necessary.
*Skills and Qualifications:*
* Minimum high school diploma; further education in administration or relevant field preferred.
* 1-2 years of experience in office administration, preferably within the real estate industry.
* Proficient in Office 365, (Outlook, PowerPoint, Publisher) and familiar with various accounting programs.
* Experience in creating social media content and managing online engagement.
* Excellent organizational skills, time management, and the ability to meet deadlines.
* Superior customer service and interpersonal skills, including polite telephone manners.
* Fluent in English with strong written and verbal communication skills.
* Ability to multitask and prioritize without guidance, detail-oriented and punctual.
* Participate in training sessions to improve skills with administrative tasks in the real estate industry
Job Type: Full-time
Pay: $17.20-$21.00 per hour
Expected hours: 30 ? 40 per week
