We are seeking a driven, highly organized Executive Assistant to support two busy CEOs.
The role is integral to ensuring the smooth operation and coordination of daily activities, high-level projects, and executive responsibilities. This is a unique opportunity to work closely with leadership in a dynamic, fast-paced environment that spans multiple industries.
*Key Responsibilities:*
*1) Executive Support:*
* Provide direct administrative support to both CEOs, including scheduling, meeting preparation, email correspondence, and task management.
* Manage and prioritize incoming requests, ensuring both CEOs? time and focus are optimized.
* Assist in preparing presentations, reports, and meeting agendas.
*2) Meeting Coordination and Travel Management:*
* Arrange and coordinate meetings, including preparing all necessary materials and ensuring timely attendance.
* Schedule travel across the GTA for meetings and events, arranging logistics and necessary resources.
*3) Project and Task Management:*
* Organize and manage various projects, tracking deadlines and ensuring timely follow-through.
* Communicate effectively across departments to facilitate project progress and update on key tasks.
*4) Communication and Liaison:*
* Serve as a liaison between the CEOs and internal/external stakeholders, managing communications and ensuring professionalism.
* Address client inquiries and requests, embodying the company?s values and maintaining a high level of confidentiality.
*5) General Administrative Duties:*
* Maintain organized records and documentations, ensuring easy retrieval and reference.
* Assist with ad hoc duties as they arise, supporting the CEOs in achieving business goals.
*Qualifications and Skills:*
* *Experience* in executive support, ideally supporting C-level executives.
* *Exceptional organizational skills* with a strong attention to detail and the ability to manage multiple tasks effectively.
* *Proficiency in Microsoft Office Suite* (Word, Excel, PowerPoint) and Google Workspace.
* *Professionalism and confidentiality* are essential, with excellent verbal and written communication skills.
* *Willingness to travel across the GTA* as required, with a valid driver?s license.
* *Problem-solving mindset* with a proactive approach to anticipate needs and handle challenges independently.

Job Types: Full-time, Permanent
Pay: $45,145.53-$63,847.35 per year
Additional pay:
