*Position Title:* Director of Finance
*Department:* Administration
*Reports to:* Executive Director
*SUMMARY*
The Director of Finance is a senior leader in the organization and oversees all financial and accounting elements. The successful candidate will have a strong background in non-profit fund accounting and experience as a collaborative senior leader in a medium sized organization. Under the direction of the Executive Director (ED), this position will play a critical role in partnering with the senior leadership team in strategic decision making and operations as our organization continues to enhance quality programming, build capacity, and expand our impact. This position requires proven experience in leadership on a broad range of competencies to innovate, strengthen, and build infrastructure.
*Key Responsibilities*
*Accounting/Finance*
_Financial Management_
* Review financial statements for accuracy and present analysis to ED, and Board in a timely and accessible manner.
* Manage organizational cash flow and forecasting.
* Oversee approval for all policies and procedures for workflows and internal controls.
_Grants/ Contribution Agreement Reporting and Budget Development_
* Provide leadership and final responsibility for the development of grant application budgets, in accordance with funder and organization requirements, and ensure that funding for proposed expenses is accurately assigned from approved organizational and department budgets. This position will develop, improve, and implement budget development and maintenance systems for the organization.
* Monitor spending variances to budgets for individual funders, departments, and the organization. This position will develop, improve, and implement monitoring tools and variance planning systems for the contracts, departments, and the organization.
* Record, track, and analyze grant/contract expenditures and reconcile to general ledger. Create claims and grant/contribution agreement reports to a broad range of funders, ensuring that claims and reports align with grant/contribution agreement allocations and protocols as necessary.
* Analyze government grants reimbursement invoicing and budget-to-actuals with the Executive Director, Director of Service, and other relevant personnel.
* Develop and submit budget modifications, updated cash flows, and consolidate cashflows/budgets for grants/contribution agreements for organization and departments as needed. This position will develop annual cycles for the organization, considering the requirements of various funders.
_Accounts Payable & Receivable_
* Oversee coding approval on all receivables, including earned income, donations, fee-for service, government grants, contracts, and foundations.
* Lead the organization in systems development for electronic payments/ transfers.
_Budgeting_
* Oversee and lead annual budgeting and planning process in conjunction with the Executive Director
* Administer and approve all financial plans and budgets.
* Monitor budget progress and changes and keep Executive Director and senior leaders abreast of the organization?s financial status.
_Periodic Financial Activities_
* Approve reconciliation of all balance sheet accounts and resolve reconciliation discrepancies.
* Oversee the completion of the bi-weekly payroll processing.
* Work with auditor on annual audit and prepare schedules and documentation.
* Oversee that all annual filings are completed in a timely manner.
* Manage grant audits and on-site financial monitoring visits.
* Manage all banking relationships to optimize services received and minimize costs
* Work with the ED and insurance broker on annual insurance renewals.
* Attend Board Finance Committee meetings and prepare documentation for review one week in advance of meeting.
_HR/Personnel_
* Collaborate with the Director of HR and Operations to ensure compliance with all current HR and labour laws and protections, including those applying to non-exempt status
