*Job Overview* We are seeking a detail-oriented and organized Office Assistant to support our administrative team. This role involves managing various clerical tasks, providing excellent customer service, and ensuring the smooth operation of our office environment. The ideal candidate will have strong computer skills, experience with office software, and the ability to handle multiple responsibilities efficiently. Prior experience in medical or dental offices is a plus, but not required. This position offers an opportunity to develop professional skills within a dynamic office setting. *Responsibilities* * *Review Job Tickets:* Read the mechanic's notes to see exactly what parts were used and how many hours the repair took. Parts and Inventory Tracking * *Match Invoices:* Make sure the parts the mechanic used match the delivery receipts and purchase orders. * *Update Inventory:* Take used parts out of the digital system so the shop knows what to reorder. * *Warranty Claims:* Process extra paperwork for truck parts that are still covered by a maker's warranty. * *Calculate Charges:* Add up the costs for labor, parts, and any special shop fees. * *Create Invoices:* Write up the final bill for the truck owner or trucking company using accounting tools like QuickBooks or Xero. [1, 2, 3, 4, 5] *Requirements* * Proven clerical or administrative experience, preferably in a medical or dental office setting. * Strong organizational skills with attention to detail and accuracy in data entry and proofreading. * Proficiency in Microsoft Office (Word, Excel), Google Workspace, and QuickBooks. * Excellent customer service skills with professional phone etiquette. * Ability to manage multi-line phone systems and handle front desk responsibilities efficiently. * Basic bookkeeping knowledge including invoicing and record keeping. * Strong computer skills with the ability to learn new software quickly. * Ability to work independently and prioritize tasks effectively in a fast-paced environment. * Previous experience with filing systems, typing, and general office support is preferred. Pay: $17.60-$22.85 per hour Work Location: In person- Location Cornwall, ON
